Noblis is seeking to hire an Executive Assistant in Reston, VA 

 

This important and highly visible role works in collaboration with, and in support of, two Noblis Vice Presidents who are leading complex initiatives across these divisions and teams.  

 

This purpose of this role is to partner closely with two Noblis VPs, the Chief Technology Officer (CTO) and the Vice President of Business Operations, to ensure effective operations, introduce the organization to processes and presentations where needed, ensure follow-through on corporate action items, and provide effective communication within and across the enterprise on technology and business operations initiatives while promoting a collaborative atmosphere.      

 

The Executive Assistant will provide extensive administrative, operational assistance to the CTO and the Vice President of Business Operations.

 

Job Responsibilities:

  • Partner with the Vice Presidents, anticipate needs, and take initiative to organize and execute detailed logistics and solutions.  Partner with the Vice Presidents in providing effective collaboration and communication with both internal and external stakeholders.  
  • Collaborate with the Executive Assistants' Team and provide back-up when needed under the guidance of the Senior Executive Assistant.  
  • Manage and organize projects and/or events, to include highly visible corporate-wide events relating to Noblis’ extensive technology programs and business operation functions. This entails planning/orchestrating in person meetings at local and nationwide Noblis offices.  In some cases, this involves logistical management of ordering, set-up, and disassembly of catering, conference rooms / auditoriums, and supporting equipment.  Manage Vice Presidents’ internal and external meeting schedules and calendar using Outlook.
  • Manage and support procurement operations using internal tools and processes to include acquisition of technology and professional services.
  • Assist with administrative functions within the Business Operations as needed
  • Collaborate with other internal and external organizations, including senior leadership, on execution of action items.
  • Coordinate Vice Presidents’ business travel and file expense reports. Partner with Vice Presidents to perform the
  • following as required to accelerate business office operations:
  • Maintain SharePoint filing systems and document version control.
  • Suggests and maintain internal website content in partnership with our Marketing & Communication and Enterprise Technology Teams
  • Conduct data calls across technology and business operation programs and corollate information.
  • Perform Internet research, analysis, and summarize information.
  • Ability to work a hybrid schedule, to include remote and our Reston, VA headquarters office.   

Required Qualifications

 

  • Minimum of 8+ years of experience providing administrative, operational, and/or logistical support.  
  • Experience as an Executive Assistant, including experience supporting C-Level executives.
  • Demonstrated ability to coordinate complex logistics in support of meetings across multiple locations.
  • A poised, polished and professional communication style.
  • Candidate must have excellent oral and written communication skills.  
  • Excellent judgment and organizational skills are a must.
  • Extensive writing, editing and communications background.
  • Ability to work independently, cooperatively, and collaboratively with various levels of administrators and staff.
  • Proven experience with project organization and event management.
  • Ability to work extended hours on occasion supporting special events. 
  • Must possess outstanding interpersonal and customer service skills.      
  • Proficiency in MS Windows 365 and MS Office--Word, PowerPoint, Excel, Outlook, SharePoint and Teams.  
  • The ability to multi-task, contributing to multiple projects with strong attention to detail. 

Desired Qualifications

 

  • Active Top-Secret clearance is highly desirable.

Compensation at Noblis is determined by various factors, including but not limited to, the combination of education, certifications, knowledge, skills, competencies, and experience, internal and external equity, location, clearance level, as well as contract-specific affordability, organizational requirements and applicable employment laws. The projected compensation range for this position is based on full time status. For part time or on-call staff, compensation is proportionately adjusted based on hours worked. While monetary compensation is important, it's just one component of Noblis’ total compensation package.

Posted Salary Range

USD $26.92 - USD $42.07 /Hr.
