Technology and threats evolve rapidly in today’s ever-changing environment. In response, DHS S&T was established by Congress to provide innovative scientific and technical solutions to the nation's homeland security challenges. DHS S&T supports basic and applied research, development, testing and evaluation (RDT&E) that provides the tools and knowledge products to support the Homeland Security missions of DHS components and first responders. DHS S&T supports these RDT&E activities at a range or performer and government facilities, including DHS S&T-run research facilities across the U.S.

 

This role provides overall front office program and project management support, including, among other tasks, planning, conducting and documenting a range of internal and external meetings, as well as organizing a range of administrative tasks for DHS S&T leadership.

 

Role functions may include:

 

  • Conducting research, analysis, and recommendations on programs, projects, and personnel to identify programmatic strengths and weaknesses and ensure support and strategic initiatives are appropriated.
  • Evaluating and comprehending technical program data, research work plans, budget reports, and other relevant documentation.
  • Setting up and managing high-level meetings and conferences on behalf of senior staff with other senior leaders, including coordinating calendars and other technical or meeting logistics.
  • Conducting meetings and capture action items and following up on meeting action items on behalf of client.
  • Providing daily schedule support and manage senior leadership calendar by preparing, developing, or gathering required meeting materials.
  • Facilitating and managing both weekly and monthly senior staff meetings by collecting or initiating topics for discussion and track action items post-meeting.
  • Developing PowerPoint presentations for meetings, off-site meetings, conferences, and Congressional
  • Engaging and coordinating with senior-level support staff on behalf of client.
  • Coordinate and manage travel schedule and logistics for senior level office staff to include flights, hotels, rental cars, etc. using the DHS mandated system. Process paperwork for travel reimbursements.
  • Supporting the full lifecycle of Records Management for DHS records according to Federal standards and guidance.
  • Performing administrative tasks such as scheduling meetings, sending internal staff communications, and maintaining office inventory.
  • Providing back-up support to other contractor support staff for senior-level support and budget support.
  • Serving as office emergency response liaison for on-site emergencies.
  • Keeping up to date on in-house training, i.e., ExecSec, Travel, Records Management, Security, etc.

Qualifications

Required Qualifications:

  • Bachelor’s degree and a minimum of 3 years of relevant experience or Associate’s degree and 7 years of relevant experience.
  • Applicants selected may be subject to a government security investigation and must meet eligibility requirements for access to classified information.
  • Ability to obtain a Secret-level Security Clearance and DHS Suitability.

Desired Qualifications:

  • Programmatic or management experience supporting DoD and/or DHS components (e.g., TSA, CBP, FPS, CISA, CWMD, USCG, ICE).
  • Ability to work in a dynamic team-oriented environment, demonstrate teamwork and initiative, and function productively in the face of new assignments and the re-prioritization of existing assignments.  
  • Ability to multitask independently in a fast-paced environment and collaborate across multiple teams and with multiple team members.
  • Possess a proactive customer service-oriented mindset to support senior leadership in streamlining best practices and process improvement activities.
  • Experience with administrative management of government offices preferred.
  • Familiarity with government budget execution processes.
  • Familiarity with government travel procedures and guidelines.
  • Strong writing skills, targeting both technical and non-technical audiences. 
  • Experience with Microsoft Office, including Word, Outlook, Excel and PowerPoint
  • Secret-level Security Clearance and DHS Suitability preferred.
